Your Information

This notice applies to enquiries and quotation requests made through this website, by email or by telephone. Last updated 17 October 2026.

Who we are

Surrey Groundworks and Civil Engineering Limited is the controller of the personal information described in this notice.

Company number: 16956607. Registered office: 74 Oyster Lane, Byfleet, West Byfleet, KT14 7HR.

Information we collect

When you contact us or request a quotation, we may collect your name, company, email address, telephone number, project or site address, project details, budget, proposed dates, messages and any drawings, plans, photographs or other files you choose to upload. We may also keep correspondence and records created while discussing or delivering work.

How and why we use it

  • To respond to enquiries, assess a project and prepare or discuss a quotation.
  • To take steps at your request before entering into a contract and to perform an agreed contract.
  • To plan, manage and keep records of work and business correspondence.
  • To protect our website, prevent misuse and meet legal, tax, insurance or regulatory obligations.

Our lawful bases

We normally process enquiry information because it is necessary to take steps at your request before a contract, to perform a contract, to comply with a legal obligation, or for our legitimate interests in responding to customers and operating our business. We do not rely on consent where another lawful basis applies.

Who receives the information

Information may be handled by authorised Surrey Groundworks personnel and by service providers that support our website, secure file storage, email delivery and IT systems, including Base44 and Resend. We only share information where needed for these purposes, to obtain specialist input requested for a project, or where the law requires it. We do not sell personal information.

International transfers

Some technology providers may process information outside the UK. Where this happens, we require an appropriate safeguard recognised by UK data-protection law, such as an adequacy regulation or approved contractual protections.

How long we keep it

We keep personal information only for as long as needed for the purpose collected. Routine enquiries that do not become projects are periodically reviewed and deleted when they are no longer needed. Records connected with quotations, contracts, payments, disputes, insurance or legal obligations may be retained for longer where reasonably necessary or required by law.

Your rights

Depending on the circumstances, you may have rights to access, correct or erase your information, restrict or object to its use, and receive information you provided in a portable format. You may also complain to the Information Commissioner's Office at ico.org.uk.
